Live notification in the system
Various actions that users perform in Q.wiki trigger notifications. This ensures that the content in Q.wiki remains up-to-date and that users are informed about changes and/or need for action.
If new notifications are available to you, you can recognise this by the bell at the top right. In addition, a red dot appears on the icon in the browser tab.
Notification by e-mail
To ensure that you receive your notifications even if you are not logged in to Q.wiki, you will receive a daily summary by e-mail. This notification is only triggered if there are actually notifications waiting for you in the Q.wiki.
In addition, you have the option of activating immediate notifications by e-mail. You can activate this function individually under your personal profile.
Overview of notifications
The following list shows the actions that trigger notifications.
Please note: Only the actions that trigger notifications by default are listed. Deviations from this can result in particular from a customised release workflow and individually configured module.
Trigger | Notification recipient | Customizeable |
---|---|---|
Processes and knowledge management | ||
Request content review | Responsible | no |
Request formal review | Members of QMGroup | yes |
Request read receipt | Every recipient | no |
Resubmission | Responsible | no |
Comments | Responsible + manually selected users | no |
Module | ||
Status of an module-element (e.g. risks, audits, minutes...) is changed | module workflow recipients | yes |
Assign task | Assigned user | no |
Edit, comment, close task | Author, assigned user, user to be informed | no |
Note:
To reduce the flood of notifications, the system will not send any notifications if you are both the “initiator” and the “addressee”. This applies to the following scenarios, for example:
- You create a task or action via task management and assign the task to yourself.
- You ask for approval but are entered as the person responsible for the page.
Unfortunately, it is not possible to force an email for such combinations.
