Q.wiki offers two ways to make external files available to users:
- Attachments: Use this when a file should be made available for a Q.wiki page. Files are embedded in the page and are subject to the approval workflow of the corresponding page.
- File pages: Use this when a file should be linked from multiple Q.wiki pages. The file page has its own metadata and is subject to the approval workflow.
Attachments
Add attachments to a Q.wiki page
- Open edit mode for a page or create a change proposal – see Approval workflow function.
- Place your cursor at the position where you want to insert the external file.
- Click the Upload attachment button to open the file browser and select your file.
- The file will be inserted at the desired location.
- Tip: You can also drag and drop a file onto the page in edit mode.
- We support file extensions with a maximum of 9 characters.
Update attachments on Q.wiki pages
- Option 1: Delete the file from the content in edit mode and insert the new file as described above.
- Option 2: Click on the file in edit mode to open the context menu. Select Replace attachment to update the attachment.
Attachment versioning
Access previous versions of a page via the three-dot menu > History – see Version comparison, restore version. Previous versions show the attachments that were valid at that time. Separate versioning of attachments is therefore not necessary.
Convert attachments to file pages
To convert an attachment to a file page, hover over the attachment in the change proposal of the page. Click the Convert to file page button in the attachment's popup.
File Pages
Create file pages and add them to Q.wiki pages
- Go to the Q.wiki page where you want to link the file page.
- Click the Create subordinate page button to open the dialog for creating a new page.
- Choose a descriptive Title that indicates the content.
- Select File page from the Page type dropdown.
- Click the field under Add file to open the file browser and select your file.
- Tip: You can also drag and drop a file onto the field.
- Click Create page to create the new file page. You can then complete the metadata for the approval workflow.
- Click Save to complete the process. The file page can now be linked using the link dialog – see Add links.
Open the content of a file page
- Navigate to the corresponding file page.
- Click the Download file button to download the page content.
Update the content of a file page
- Navigate to the corresponding file page.
- Click Suggest change or View change proposal to switch to the change proposal for the page. File pages are subject to the same access control as other Q.wiki pages – you cannot update the approved version directly.
- Click the Upload new version button to open the file browser and select your new file.
- For Microsoft Office files, you can also edit them directly using the Office interface. Click the Edit file with Office button for this.
- Important: Using the Office interface requires additional setup. Find more details in the guide Update Office files using the WebDAV protocol.
- After editing the page, changes in the preview will only appear after reloading the page.
File versioning
Versioning works the same way as with Q.wiki content – through the page history – see Version comparison, restore version.
