Tip: The Employee Conversation Module is based on the Module Generator's standard module template. Modules created with the Module Generator can be customized to your individual requirements. This guide describes the basic functions of the standard template.

Module Purpose

The Employee Conversation Module helps you conduct regular employee conversations, document them, and track any resulting action items.

Workflow: Status Steps

An employee conversation progresses through the following statuses:

Status Description
Upcoming Conversations Starting status for scheduled conversations. You and the employee can prepare for the conversation here. You can remind the employee via the approval workflow – they will receive an email notification.
Pending Confirmation After the conversation, both parties can request changes (e.g., corrections to the minutes). The employee confirms the conversation, and it then moves to post-processing.
Post-Processing You can finish processing the conversation and then archive it.
Archived Status for completed conversations. You can move a conversation back to post-processing if needed. After that, create a new conversation for your next meeting.
Deleted Archived protocols can be deleted, for example if an employee leaves the company.

Structure of an Employee Conversation

An employee conversation consists of four sections:

Frame Data

This section captures participants, date, the last employee conversation, and the process description.

Conversation Minutes

You can document important discussion points here. A proven approach: define a general guide in a process description and customize it during conversation preparation.

Attachments

Important documents can be attached to the conversation.

Action Items from Employee Conversation

Tasks, goals, and key information are recorded here. All participants can transparently see the action items and their current progress.

Access Rights Management

Access rights management is straightforward and can be customized. By default, only the employee and their manager can see their own conversations. However, you can also grant view access to others (e.g., Human Resources) by:

  1. Creating a role in the module configuration.
  2. Adding the relevant users to this role.
  3. Adding the role in the Overview tab under RightsAccess Restriction.

Required Customizations

The Employee Conversation Module is ready to use in its standard configuration – no mandatory customizations are required.
