Module Generator: Basic function of the candidates module

Tip: The application module presented in this article is based on the standard module template of the Module Generator. Modules created with the Module Generator can be customized to meet your individual requirements. This guide describes the basic functions of the standard template.

In the template, under Data and Views → Onboarding → Processes and Pages for Onboarding, you will find an empty link field. There you must select the process module whose pages should be included.

Purpose of the Module

The Application module helps you organize new applications from initial contact to hiring.

Process

First, when a new application is received, it is created in the module overview. When creating, a template per department can be helpful – for example, the managers are already listed there. Regardless of whether you work with or without a template, you then enter the applicant information.

After creation, applications go through the following statuses:

  • New Application
  • Applicant Pool
  • Applicant for Preliminary Interview
  • Applicant for Assessment Center
  • Employee to Hire
  • Hired Employee
  • Rejection

When an application reaches the next status, the HR department and the responsible manager are notified. Particularly important are the onboarding tasks that are initiated in parallel with the application. Here, you can organize things such as providing a work laptop, office key, or similar items.

After going through all statuses, the new employee can successfully start their first day of work.

A single application is divided into the following elements:

  • Applicant Information
  • Initial Internal Assessment
  • Application Documents
  • Onboarding
  • Hiring Tasks

Applicant Information

This section contains all important personal details of an application.

Initial Internal Assessment

Two managers and the HR department can record their first impression using a point scale with comments.

Application Documents

Here, submitted documents can be attached.

Onboarding

In the Onboarding element, the first day of work, the responsible contact person (mentor), and processes that support onboarding are recorded.

Hiring Tasks

Here, tasks such as providing work materials are scheduled and assigned so that the applicant has their work materials available on the first day.

Rights Management

In the Roles tab of the configuration, you define which users or groups are assigned to the roles HR, Management, and Manager. These role holders are authorized to view applications and move applicants to the next status.

Possible Customizations

In the Application module, no mandatory customizations are necessary after role assignment by a Key User. Additional information is added via the module configuration with additional fields.
