Purpose of the module
The Opportunities module lets you capture, describe, evaluate, and track opportunities. Based on this, you can derive goals, define initiatives, and manage their implementation to effectively realise identified opportunities.
Workflow and statuses
The Opportunities module follows the principle of continuous improvement. Each opportunity passes through several statuses – the process is repeated at regular intervals.

| Opportunity draft | All newly created opportunities start in this status. Any user can create a new opportunity at any time. Enter the opportunity name, triggers and assumptions, expected benefit, and the information circle. Optionally, you can link the opportunity to a process in Q.wiki. Once captured, you can submit the opportunity for further processing. |
| Submitted opportunity | Submitted opportunities are managed by the opportunity managers. They review the opportunity, add any missing information, and regularly evaluate it in a defined group. The evaluation is based on the dimensions benefit and feasibility – the resulting prioritisation score indicates the priority. Opportunities with a higher priority should be implemented first. |
| Opportunity in progress | Once the decision is made to implement an opportunity, it moves to this status. Here you define concrete goals with measurable targets and deadlines, and determine initiatives to achieve them. At the end of the implementation phase, effectiveness is reviewed. If implementation is successful, the opportunity is completed. |
| Implemented opportunity | Once no further goals or initiatives are planned or in progress, the opportunity is completed and documented in this status. |
| Discarded opportunity | Opportunities can be discarded if, for example, they were submitted as duplicates or have lost their relevance. Discarded opportunities remain documented in the module for traceability. |
Structure of an opportunity
Each opportunity in the module is divided into four content blocks:
Opportunity details
Here you enter the opportunity data, a description of triggers and assumptions, the expected benefit, and the opportunity source. The opportunity source describes the link to a process from which the opportunity arises or in which it can be realised.
Using the Protected opportunity option in the page header, you can activate visibility restrictions. In this case, access is limited to the creator, the selected information circle, and the opportunity managers.
Opportunity assessment
This section contains the individual opportunity assessment scheme, which you can view at any time via a link to a separate Q.wiki page. The assessment is based on two dimensions:
- Benefit – the higher the potential benefit, the higher the rating
- Feasibility – the more likely the implementation, the higher the rating
The prioritisation score is calculated by multiplying both values. If different types of opportunities are considered (e.g. process opportunities or business opportunities), they can also be distinguished here.
Goals and initiatives
Here you define concrete goals with measurable targets and a target date. The integrated task management allows you to create initiatives for achieving these goals, assign people, and set deadlines. This makes it easy to track initiatives and adjust them as needed.
Effectiveness review
At the target date, a review determines to what extent the defined goals were achieved. The specific content and criteria for the effectiveness review should be defined in the corresponding process.
Rights management
By default, the Opportunities module is designed for maximum transparency: every user can see and edit all opportunities.

| Opportunity managers | Defined in the Roles tab of the module configuration. They can view and edit all opportunities – including protected ones, even if they are not part of the information circle. By default, the QMGroup can be assigned to this role. |
For individual opportunities, you can use the Protected opportunity option in the page header to restrict access to the creator, the information circle, and the opportunity managers.
Required adjustments before going live
Before using the module productively, at least two adjustments are required:
- Define opportunity managers: Open the module settings and navigate to the Roles tab. Assign the
QMGroup(or another suitable group) to the role. - Define an opportunity assessment scheme: Determine the two assessment dimensions for prioritisation and define the levels of the 5-point scale so that a shared understanding is established when evaluating opportunities. Also define the prioritisation score threshold above which opportunities should be implemented.
