App Generator: Basic funktions of the legal register app

Note: The legal cadastre app presented in this article has been created on the basis of the App Generator's standard app template. The applications created with the app generator can be adapted to individual requirements. These instructions describe the basic functions of the standard app template. 


Aim of the app

The aim of the legal register app is to support companies and organizations in identifying, describing and evaluating requirements in connection with legal aspects. The legal register is used for the systematic recording and management of legal standards and makes them accessible to the relevant employees in the company.


Procedure

Legal norms that are entered into the legal register pass through various statuses:


  • In preparation
  • Active legal standards
  • Inactive legal standards
  • Templates


In preparation: Newly created legal standards are stored in this status and are therefore in a review or planning phase. If relevant requirements and measures are fulfilled, the legal standards move to the next status.


Active legal standards: Refers to legal provisions, laws or regulations that are currently in full force and have legal force for the company. An “active legal standard” is regularly reviewed, updated and adapted to reflect changing social, economic and legal conditions.


Inactive legal standards: Refers to legal provisions, laws or regulations that are no longer fully in force or have lost their legal force for the company. “Inactive legal standards” can still be of informative interest as they document relevant legal developments for the company. “Inactive legal standards” can be reactivated at any time.


Templates: Enable the creation of copy templates for new legal standards. This allows, for example, task packages to be defined within the app, which are automatically assigned to new legal standards when the template is used.


App element

An app element is divided into 3 sections: 


  • Metadata of the legal standard
  • Internal explanations in connection with the legal standard
  • Task management


Metadata of the legal standard: General information is maintained here that makes it possible to classify and monitor the legal standard in the context of the company. External metadata is specified by the legislative body or the associated legal text. Internal metadata must also be maintained. This includes the dates of the last and next review, the person responsible within the company and the current status of the legal standard.


Internal explanations in connection with the legal standard: If there are special notes or information that are required for the internal implementation of the legal standard, these can be recorded here.


Task management: Once a legal standard has been created, tasks relating to it can be defined here. For example, a regular check or monitoring of the legal standard can be assigned as a task. Predefined task packages can also be created using the templates.


Rights management

Under Roles, you will find the role “Responsible for the legal register”. The users or groups named there are the users who are informed of any changes to the legal register. Admin users are assigned to this group by default. 


Possible adjustments

In the configuration of the legal register app, the role “Responsible for legal register” should be filled before the first use.

Before the application is used, it is recommended to create a template for legal norms. This includes defining the tasks that each responsible person should perform once the legal standard has been created.

Authorizations can also be restricted. By default, both the creators of a legal standard and the role of “Responsible person for the legal register” can initiate and carry out the various status changes.
