Module Generator: Basic function of the event planning module

Module Objective

The Event Planning module helps you organize both recurring and one-time events in a structured way. You can also manage event proposals and associated tasks within the module.

Process

In the module, new and known events are proposed.

When a new event is proposed, the Marketing department is notified and evaluates it. They decide whether to participate actively (with booth/presentation) or passively (as a visitor). Once all key information is recorded and the decision is made, planning begins. In this phase, responsibilities are defined.

After the event takes place, a post-event review follows. An evaluation is documented to help inform future participation decisions. If the feedback is positive and you want to participate again, a template for the event is created.

Module Elements

New Event Idea

A new event idea is created directly in the module and specified with key information. This includes:

  • Event title
  • Format, topic, etc.
  • Start and end date
  • Location and costs
  • and additional notes

Once all important information is entered, you save the proposal. The event overview then appears, which you can submit via the approval workflow. The Marketing department is notified of the proposal when the status changes.

After submission, the Marketing department evaluates the event and decides whether to participate actively, passively, or not at all. Once this decision is made, you must complete the Planning section. The following points are recorded here:

  • Who is responsible
  • The exhibition team
  • The speaker
  • The materials
  • Setup and teardown
  • The external contact person

In the Execution section, all upcoming tasks are assigned and tracked.

After the event, the Post-Event Review follows. The following information is recorded:

  • The number of visitors
  • Number of conversations held
  • Selection: "Would you participate again?"
  • Comments and improvement suggestions
  • The overall rating

Recurring Events

For events that you participate in regularly, it makes sense to create a template. This is created in the module overview and contains all the event information along with some standard tasks pre-configured. This saves you from having to set up the same event repeatedly.

Possible Customizations

The Event Planning module requires no mandatory adjustments and is ready to use immediately.

Before you use the module, the Marketing role should be assigned to the relevant users. Additionally, the workflow can be customized to match your organization's needs.
