Module Generator: Basic function of the fleet management module

Note: The fleet management module presented in this article has been created based on the standard module template of the module generator. Module created using the module Generator can be customised to meet individual requirements. These instructions describe the basic functions of the standard module template.  


Aim of the module 

The module is intended to facilitate the management of company vehicles. It gives the fleet manager an overview of which vehicles exist in the company, which employees are assigned to them and which tasks exist for the individual vehicle.

 

Procedure

First of all, it is possible to report vehicle requirements. Once these have been confirmed, the fleet manager can order the vehicles and include them in the fleet as "active vehicles" upon delivery. 

If a vehicle is not used, e.g., at the end of use, the vehicle can be deactivated in the fleet until the decision to sell or scrap is made. 

After the process for scrapping or sale has been completed, the vehicle can be set to the "former vehicle" status. In this way, it is always possible to trace which vehicles were once in the fleet. 


Module element 

The module elements represent vehicles. They consist of the following sections. 

Contract information 

This is where the financial aspects of the vehicle are located. In addition to the leasing contract properties, information on the delivery date and dealer or fuel cards is also stored here. 


Vehicle Information

The Vehicle Information block contains technical information on the vehicle, such as make, model, chassis number, but also registration number and tyres, as well as information on the next general inspection due. 

Information on who the driver of the vehicle is can also be stored here. 

Paper and other documents 

Under Papers and Documents, contracts, registration papers and other documents relating to the vehicle can be stored digitally. 

Task management 

Tasks for the driver, the fleet manager or other employees can be stored in the task management. In this way, it can be ensured that main inspection or maintenance deadlines are met. 

Rights management 

Under roles you will find the role "fleet manager". The users or groups named there are those users who, in addition to the key users, are authorised to view all vehicles. By default, vehicles are not protected from view and can be viewed by all employees; this can be adjusted in the module configuration. 

All transitions within the life cycle of a vehicle can only be carried out by the fleet manager. An exception is the transaction "Report vehicle demand" which is open to all employees.
